Functionality
- Will you get reminders in your dashboard if someone doesn’t sign?
Yes, there will be reminders in your dashboard and email notifications. - What if you know the company you want to sign but not which individual?
You will need an email address for the signatory to initiate the signature workflow. - Can you add a signature line?
Yes, you can add one if it wasn’t part of the form already. - Do signatories need to have accounts in order to sign?
No, workflows are routed through email, and no accounts are needed. - Is it possible to route parallel approvals or is every signature a step in a workflow?
Yes, you can use parallel approvals so that all signatories can sign at the same time in a transaction. - Which phase will have the ability to create and process Contract Change Orders or Additional Funding for Contracts?
This can be done in phase 1 with the upload functionality. - What is the timeline for rolling out phases 2 & 3 of Contract Builder?
We anticipate rolling out phases 2 & 3 in Q1 and Q2 of 2021, respectively. - Does this module integrate with LaserFiche?
We can effectively integrate with any application as long as it has an API for us to connect with. Integrations like this would be work quoted separately; reach out to your bids&tenders team if this is of interest.
Security & Storage
- Are contracts & eSignatures legally binding?
Yes. Though precise legislation varies depending on the province or state, eSignatures are deemed legal and valid throughout Canada and the United States of America. - How is data encrypted and stored?
For our Canadian clients data is stored in Canada. For our US clients data is stored in the US. Data is encrypted to meet or exceed the security requirements of a number of international standards. - Are contracts stored/saved indefinitely?
The documents will be stored within bids&tenders and can be exported out of the system at any time. - Is there a file size limit?
Yes, the size limit is 16MB per document upload. For reference, a 500-page Word document converted to PDF will be approximately 10MB.
The transaction size limit is 30MB.
Pricing
- Is the annual cost based on the number of forms that get issued or contracts made using the system?
The rate is based on the number of contracts. - If an organization goes over the number of transactions they have purchased, are they simply charged for the next level?
You will receive an email notification once you are nearing your contract transaction limit. At that point you can discuss with your bids&tenders team if you’d like to move to the next level. - How does the pricing compare to lower cost standalone eSignature platforms?
This is an integrated module, not only a signature tool. The notifications, contracting, tracking and document storage within the application for both your organization and your suppliers are part of this module. Fully integrating into the bids&tenders platform required significant time and effort to code, build and test this feature. We also need to set up each customer’s specific integration, setup, templates and workflows.
